You've delivered the work, don't chase the money.
For agencies, consultancies, software, training and maintenance firms working on projects or monthly retainers: prepare the quote, turn it into an invoice once accepted, let your client pay by card from a payment link, and see at a glance who's paying late and by how much.
Common problems in this business
- Quotes in one place, invoices in another: Quotes are written in Word, and once accepted the same items are retyped in the invoicing program, so mismatched amounts and forgotten items are inevitable.
- Chasing payments becomes your job: Calling to ask "when will you pay?" after delivering the work eats up time and strains the client relationship.
- Some clients always pay late: You need to see who pays reliably and who's pushing your limits before you take on new work.
- The team isn't looking at the same picture: The project manager tracks quotes, accounting tracks invoices and the boss tracks payments, all in separate lists.
The workflow with Heyşirket
- Prepare the quote: Create a quote with the client, service items, discount and VAT, and send the PDF to your client.
- Turn it into an invoice once accepted: An accepted quote becomes an invoice draft in one click, so you never retype the items.
- Share a card payment link: If you've connected your own iyzico account, a "Pay by card" button is added to the invoice email, and you can share the link over WhatsApp or SMS too. When the payment comes in, it's recorded on the invoice.
- Reminders for overdue invoices: You get a summary of overdue invoices and send your client a payment reminder with one click. Clients who pay by bank transfer are matched from your bank statement.
Features
- Quote → invoice: Quote, acceptance and invoice on the same customer record; a quote becomes a draft in one click.
- Card payment link: 3-D Secure payments through your company's own iyzico account, with installments if you like. Card details never reach you or Heyşirket.
- Payment reminders: You get a summary of overdue invoices and send the client a reminder with a payment link in one click.
- Credit limits and payment terms: Default payment terms and a credit limit for every client; the available credit shows on the account card.
- Team and roles: Separate permissions for sales, accounting and management, with everyone looking at the same records.
- Customer risk flag: Shows clients whose payments are slowing down, with the reasons, when you create a quote or invoice; your riskiest clients are listed on the home screen.
What a month looks like
- Start of the month — Monthly service invoices: Invoice your retainer clients for the month; e-Fatura is chosen automatically for registered companies.
- Mid-month — Quotes move forward: Pending quotes stay on the list, and accepted ones are turned into invoices.
- Due date — The payment link does its job: The client pays by card with the button in the email; the payment is recorded on the invoice automatically and you get a notification.
- Once the due date passes — Reminders and statements: Send a late client a reminder with one click; bank transfers are matched from your statement.
- Filing period — A summary for your accountant: The tax calendar shows your estimated VAT, and you send the period summary to your accountant in one click.
Frequently asked questions
How does my client pay an invoice by card?
You connect your company's own iyzico account under Settings > Collections. A "Pay by card" button is added to the invoice email and payment reminders, and your client pays with 3-D Secure, in installments if you allow it. The money goes straight to your iyzico account. PayTR and Param support is coming soon.
Do the line items change when I turn a quote into an invoice?
No. The accepted quote becomes an invoice draft with its items, discounts and VAT rates intact. You can still edit the draft before issuing it.
Can I issue service invoices with VAT withholding (KDV tevkifatı)?
We explain VAT withholding and income tax withholding rules in our blog post. To be sure the withholding rate on your invoice is right, we recommend checking it with your accountant.
Can my team use the same account?
Yes. You invite team members and give them roles; for example, your accountant gets the "Accountant" role and can see invoices and reports but can't change settings.
