The goods are shipped, your stock and accounts stay accurate.
For wholesalers and distributors selling to dealers, shops and corporate buyers: see what's left in each warehouse, what price you sold to which customer, goods shipped but not yet invoiced, and receivables coming due, all in one place.
Common problems in this business
- A different price for every customer: Dealers get one price, shops another, big buyers a discount, and whoever's selling has to remember the right one.
- Shipped but not invoiced: Goods leave with a delivery note and the invoice comes later. A shipment forgotten in between throws off both your stock and your receivables.
- Warehouse counts don't match the system: Stock moves between several warehouses and vehicles, and discrepancies found in a count get corrected without anyone knowing where they came from.
- Sales on credit, payments running late: Customers buy on 30 to 60 day terms and pay by check or bank transfer. Goods keep going out to customers who are over their limit.
The workflow with Heyşirket
- Assign price lists to customers: Create price lists for dealers, shops or key accounts, set the discounts and assign each list to customers. The right price comes up when you sell.
- Ship goods with a dispatch note: An outgoing dispatch note deducts from stock, and you carry the shipped items onto an invoice in one click. Goods received with a supplier's delivery note are checked in and added to stock.
- Manage warehouses and transfers: Multiple warehouses, transfers between them, stock counts and stock history, with a record of who made each movement and when.
- Purchasing and suppliers: Raise a purchase order to your supplier, receive the goods and turn it into an expense document; the supplier statement is always up to date.
- Close out payments with your statement: Upload your bank statement and let transfers match open invoices; track checks and promissory notes by due date.
Features
- Customer-specific price lists: Assign lists to customers, with discounts and unit prices per product.
- Dispatch notes and incoming delivery notes: Shipments deduct from stock and move onto an invoice in one click. Electronic submission of e-İrsaliye (Turkish e-delivery notes) to GİB, the Turkish Revenue Administration, isn't available yet.
- Multi-warehouse inventory: Warehouses, transfers, counts and stock history.
- Purchasing and goods receipt: Purchase orders, goods receipt and conversion to expense documents; supplier statements.
- Credit limits and payment terms: Payment terms and credit limits per customer; the available credit shows on the account card.
- Bank matching, checks and promissory notes: Statements from 9 banks are recognized automatically; checks and promissory notes are tracked by due date.
- Supplier price alerts: Detects price increases per product from incoming e-invoice line items, and shows suppliers offering the same product for less.
- Customer risk flag: Flags customers who are pushing their limit, falling behind on payments or have bounced checks when you create an invoice, quote or delivery note.
What a month looks like
- Every day — Shipping and invoicing: Orders go out with a dispatch note; stock is deducted when the shipment is confirmed, and the dispatch note becomes an invoice draft in one click.
- When goods arrive — Goods receipt: Goods are received against the supplier's delivery note and added to stock; when the invoice arrives, it's linked to the expense.
- Every week — Collection round: The bank statement is uploaded and transfers are closed out; checks coming due and late customers rise to the top.
- Month-end — Stock count and reconciliation: The warehouse is counted and any discrepancy is traced through stock history; account reconciliation lists are emailed to major customers.
- Filing period — VAT, and reconciliation ahead of Ba/Bs forms: The tax calendar shows your estimated VAT and deadlines, and the period summary goes to your accountant.
Frequently asked questions
Can I give each customer a different price?
Yes. You create price lists, set discounts or unit prices per product, and assign each list to whichever customers you like.
Can I issue e-İrsaliye (e-delivery notes)?
Outgoing dispatch notes and incoming delivery notes work together with your inventory, and shipped items carry over onto invoices. Electronic submission of e-İrsaliye to GİB isn't available yet; if you're required to use e-İrsaliye, you'll need to issue it from your e-document provider's panel.
What happens when a customer goes over their limit or falls behind on payments?
You set a credit limit for each customer, and the available credit shows on the account card. Heyşirket also looks at late payments, how quickly recent payments came in, and bounced checks or notes to flag the customer as Low, Medium or High risk, and warns you with the reasons when you create an invoice, quote or delivery note. Sales are never blocked automatically; the decision is yours.
I have several warehouses. Can I track transfers?
Yes. Transfers between warehouses, stock counts and every product's stock history are recorded, and you can see who made each movement.
