How to respond to customer reviews: ready-made replies for positive, negative and Google reviews

The reply you give to a review isn't only read by the person who wrote it; everyone researching you reads it too. We show how to reply to each kind of review, with example texts.

In short

A review comes in. If it's five stars you're pleased but don't know what to write; if it's one star you're annoyed and want to reply straight away. Either way, your reply stays there for a long time, and everyone researching you reads it.

This article has examples of replies to customer reviews: ready-made texts for positive, neutral and negative reviews, what to do with reviews that look fake, and the limits healthcare businesses need to respect. Rather than copying them as they are, adapt them to your own business.

  1. Read — What happened?
  2. Wait — An hour if you're upset
  3. Write — Short and personal
  4. Move it — Take the issue private
  5. Fix it — Learn in how you work

Part 1 · Why Why should you reply to reviews?

The main reader of a review reply isn't the reviewer. It's the new customer who found you on Google or on your site and is trying to decide. That person looks at two things: what other customers experienced, and how the business behaves when something goes wrong.

Google also recommends that business owners reply to reviews. A reply shows that you value the customer and that your profile is alive. Mentioning your service and location naturally in replies also reminds the reader what you do.

Part 2 · Rules How do you write a good review reply?

A good reply doesn't have to be long, but it shouldn't read like a script either. Pasting the same "thank you" line under every review looks as weak as not replying at all.

Part 3 · Positive Example replies to positive reviews

Replying to a five-star review looks easy, but this is where scripted text is used most. In the examples below, replace the square brackets with your own details.

Example replies to positive reviews
SituationExample reply

Praised a team memberHi [name], we shared your review with [team member], who was delighted. It means a lot that you noticed our team's care. Hope to see you again. [Signature]
Praised a specific product[Name], so [product] has become your favourite too, we're really pleased. We add new products every week, you can follow them on our website. Thank you. [Signature]

Returning customer[Name], a special thank you for choosing us for years. We're always happy to welcome you at our [neighbourhood / city] branch. [Signature]

Part 4 · Negative How do you reply to a negative review?

When replying to a negative review, your goal isn't to win the argument but to show the new customer reading it that you're a calm and responsible business. Even if you're right, arguing in public costs you.

Five steps to replying to a negative review

  1. Find out what happened first

Check your records, your team or the order history. Don't reply without knowing what happened.

  2. Thank them and acknowledge it

Thank them for the feedback. If the mistake was yours, apologise clearly; if not, say that the experience they had is regrettable.

  3. Explain in one sentence

If needed, briefly say what happened, without being defensive. A long explanation reads like an excuse.

  4. Invite them to a private channel

Give your phone number or email address and discuss the details there. Don't ask for the customer's personal information.

  5. Then fix the process

If the same complaint keeps coming, the problem isn't the reply, it's how you work. That's the most lasting part of the reply.

Example replies to negative reviews
SituationExample reply

Long wait[Name], we're sorry you had to wait at your appointment, and thank you for the feedback. We've rearranged our appointment slots. We'd like you to see the difference next time. [Signature]
Product didn't meet expectationsHi [name], we're sorry the product wasn't what you expected. To talk about return and exchange options, you can reach us on [phone]. [Signature]
Complaint about a team member[Name], we apologise for your experience; that isn't how we work. We've spoken to our team about it. I'd be glad to hear the details if you write to [email]. [Signature, owner]
Complaint about priceHi [name], thanks for sharing your view. Our prices include materials and labour, and they're listed in detail on our website. If you have any questions, you can reach us on [phone]. [Signature]

Part 5 · Neutral Replying to neutral and mixed reviews

Three-star reviews often carry the most valuable feedback: the customer writes both what they liked and what was missing. In these reviews, thank them for the positive part first, then show you take the missing part seriously.

Hi [name], we're glad you enjoyed our food. You're right that service was slow; we've added staff for busy weekends. We'd like to give you a better experience on your next visit. [Signature]

Example: reply to a mixed restaurant review

In replies like this, only mention a change if you've actually made it. If you write "we've added staff" and nothing changes, the next reviews will show everyone.

Part 6 · Fake reviews What do you do with reviews that look fake or unfair?

Sometimes a review comes from someone you've never met, about something that never happened. Check your records first; sometimes the customer used a different name or wrote on behalf of a relative. If there's no record, state this in a calm reply and report it to Google.

Hi, we couldn't find an order or appointment under this name in our records. If you've had a problem, we'd like to fix it, so please contact us at [email]. [Signature]

Example: reply to a review with no matching record

Part 7 · Healthcare How should clinics and healthcare businesses reply to reviews?

Dental clinics, medical practices, physiotherapists and psychologists need more care when replying. Confirming in a reply that someone is a patient, which treatment they had or their diagnosis means making health data public. Under KVKK, health data is special-category personal data.

Hi [name], thank you on behalf of our team for your kind words. You can always reach our clinic if you have any questions. [Signature, clinic name]

Example: a simple thank-you from a healthcare business

Part 8 · Panel Replying to reviews on your site in Heyşirket

You reply to Google reviews from your Google Business Profile; Heyşirket doesn't connect to Google Business Profile and doesn't pull reviews from it. For reviews left on your own site, there's a separate screen in your company panel. Customer reviews are on the Professional plan.

We explain how to collect reviews with a link and QR code in collecting customer reviews. In the appointment tracking system on the Premium plan, you can also turn on a review request that sends your Google review link a few hours after an appointment is marked Attended or Completed. A summary of the feature is on the customer reviews page. Step-by-step guide in the panel: Help › Collecting and managing reviews.

How do you reply to a negative review?

First find out what happened from your records, then thank them for the feedback, apologise clearly if the mistake was yours, and give a phone number or email address to discuss the details. Don't argue, don't write the customer's personal information and, if possible, reply within 48 hours.

Where do you reply to Google reviews?

Google reviews are answered from your Google Business Profile, as the verified owner or manager of the business. The reply is public and can be edited or deleted later.

Do I need to reply to every review?

It isn't required but it's recommended. Replying especially to negative and mixed reviews shows new customers how you deal with problems. For positive reviews, a short and personal thank-you is enough.

Can I get a bad Google review deleted?

You can't delete it yourself. If the review breaks Google's content rules, for example if it's fake, abusive or off-topic, you can report it through your Business Profile. Google makes the removal decision; a review isn't removed just because it's negative.

Can I offer a discount in exchange for a review?

No. Google treats reviews requested in exchange for discounts, gifts or money as against its rules. Ask all your customers for reviews, without anything in return and without requiring them to be positive.

Does Heyşirket reply to Google reviews automatically?

No. Heyşirket doesn't connect to Google Business Profile; you reply to Google reviews from the profile yourself. With the Professional plan, Heyşirket lets you approve and reply to reviews left on your own site and email the reply to the reviewer.

Reply to the reviews on your site Open the approval queue, reply to low-rated reviews first and choose which reviews appear on your site. Go to reviews

If you don't have a site yet, start for free; collecting and replying to reviews is available on the Professional plan.
