Client reports and payment requests: show the work you did, get paid on time

If you run an agency or provide software, SEO or consulting services, your client forgets two things: how much work you did and when payment is due. This screen reminds them of both for you.

In short

Atlas Dijital manages the websites and SEO of two dental clinics. Dozens of tasks get done every month: blog posts, technical fixes, speed improvements. Yet at the end of the month the client asks "what did you do this month?", and payment is often a week late.

The Reports and requests screen solves both problems together. By the end of this guide you'll have set up your first agreement, started logging your work and sent your first report to yourself as a test.

  1. Quote accepted — Work begins
  2. Work log — Throughout the month
  3. Report draft — Report day
  4. Preview · test · approve — You
  5. Payment request — A few hours later
  6. Reminder — Based on due date
  7. Payment received — Thank-you email

Part 0 · Getting started Every engagement starts with an accepted quote

When your client accepts a quote online (or you mark the quote as Accepted), an engagement kickoff is opened and you get a "start the engagement" notification. The Start engagement button in the quote window opens the same screen.

The kickoff wizard

  1. Quote items

Mark each item as One-time or Recurring. The total of the recurring items becomes the agreement's monthly fee; one-time items (e.g. web design) go on the first payment request.

  2. Agreement and projects

Check the agreement name, fee model and report and request schedule suggested from the quote; add the projects and the services provided.

  3. Kickoff details

Start date, first meeting, person in charge and welcome message. All of these appear in the client's email and on their kickoff page.

  4. What we need from you (optional)

The list starts empty; leave it empty if you gather the information by talking with your client. If you like, Suggest based on services adds items such as a logo, panel access or Search Console permission. No item ever asks for a password.

  5. Start

Preview, send yourself a test and click Start engagement: the agreement and projects are set up, and the welcome email goes out with the "Accepted quote" PDF; if you want, the one-time payment request follows a few hours later in a separate email.

Part 1 · Setup Service agreement: fee, schedule, recipients

Open the screen from the Reports and requests row in the Sales group of the left menu and press the New agreement button at the top right. An agreement defines the recurring work you do for a client; several projects can be linked to one agreement, and the report comes out as a single document with a section per project.

Fee models look different in the report and the request
ModelPayment requestIn the report
Fixed feeThe same amount every periodTime isn't shown (you can turn it on)
Hourly feeBillable hours in the period × hourly rateTime per task and total hours
Hour packagePackage price + extra hours × overage rateHours used and remaining

Creating the agreement

  1. Client and name

Select the client and give the agreement a clear name (e.g. "Website and SEO services").

  2. Fee model

Choose Fixed fee, Hourly fee or Hour package and enter the amounts excluding VAT. For a client who doesn't want an invoice, you can leave VAT at 0%.

  3. Invoice preference and sender

Choose Wants an invoice or Doesn't want an invoice, and set the sender identity the client will see.

  4. Schedule

Choose the report day (weekly / every two weeks / monthly), the payment request day (weekly / monthly / quarterly) and the due date. The payment request is independent of the report; if Send to client automatically on request day is on, it goes to the client with its PDF on that day; if it's off, a draft is prepared and waits for your approval.

  5. Recipients and reminders

If To is left empty, the email of the client's primary contact is used. You can add and remove reminder steps as you like: each step says how many days before or after the due date it goes out (up to 6 steps).

Part 2 · Throughout the month Work log: the real content of the report

The Log work button at the top of the screen opens a 20-second form: project, work done, type, date, optional description, link to the published page, screenshot and duration. The same form works from your phone.

Part 3 · Report day Reviewing, testing and sending the report

From draft to sent

  1. Write a summary

Write 2–3 sentences in the Period summary field. Add a ready-made sentence suggests a short intro from your work logs; feel free to change it. What you type is saved automatically.

  2. Review the metrics

Each metric's eye icon hides it from the client report. Refresh data from connected sources re-reads Search Console, GA4, PageSpeed and site monitoring data for that period.

  3. Plan and expectations

The Plan for next period and What we need from you fields appear at the end of the report; the second is shown to the client in a yellow box.

  4. Preview and test

Preview email shows exactly the email the client will see, in Gmail, Outlook and phone views. Send test to myself sends you the same email with the PDF attached, tagged [TEST].

  5. Approve

In the Approve and send window, check the recipients and choose Send now or Schedule for later. You can also schedule the same period's payment request to go out in a separate email a few hours after the report.

Part 4 · Collections Payment requests and reminders

A payment request contains the amount, the due date, the IBAN and the request number (to write in the transfer description). The client opens the payment page with the button in the email: they copy the IBAN with one tap, pay by card if a virtual POS is connected to the company identity, or report the payment with I've made the payment together with the receipt.

Default reminder schedule (can be changed on the agreement or the request)
WhenWhat goes out
1 day before the due date"Payment due date is approaching" email
1 day after the due date"Your payment is 1 day overdue" email (polite, with red highlights)
15 days after the due date"Your payment is 15 days overdue" email
2 business days after the last stepA "call your client" notification to you only; nothing goes to the client
Whenever you likeA simple reminder with Remind now on the request page (once every 12 hours)

Part 5 · Board Work board: your client sees what you're doing right now

On the Work board tab you open cards for each client: To do, In progress, Done. Drag a card or press the Start / Complete button on it. A card moved to Done becomes a work log entry dated that day and goes into the period report automatically; cards still in progress at the end of the period appear in the report as "in progress".

Ask the client to test and collect feedback in one place

While a card is at the Testing or Done stage, choose Ask client to test from the card's comment button. A test link goes to your client with a short message; the link shows the description of the work, the page to test and two buttons at the bottom: Feedback and Test passed. Meanwhile, the card shows a With client badge on the board.

Part 6 · Client Client area: tracking without an account

Your client enters their email at portal.heysirket.com/musteri and signs in with the 6-digit code they receive; there's no account or password. If they choose Remember this device, they won't be asked for a code on that device for a year. Inside are the board status of the work, reports, payment requests and every email sent to them. The page opens with your sender profile's name, logo and colour, and is designed for phones. When the client taps a card, they see the history of the work, its link and the comments; on work awaiting testing they can also give feedback.

Part 7 · Identity Invoice preference and sender profile

Wants an invoice / Doesn't want an invoice is chosen on the client card or the agreement. For a client who wants an invoice, once payment arrives, the Issue invoice button on the request transfers the items to an invoice draft; those not yet invoiced stay in the "Collected, not invoiced" list on the Overview.

On the Sender profiles tab you complete your company's identity (logo, brand colour, IBAN, signature). For clients who don't want an invoice, you can open a person profile with another person's name, logo and IBAN; in emails, PDFs and payment pages sent with this profile, the client sees only that person. Card payment isn't available on a person profile; the client pays by bank transfer (havale/EFT).

Does the report go to the client automatically?

It depends on the agreement. There's a Send report automatically without waiting for my approval option for the report and a Send to client automatically on request day option for the payment request; each can be turned on and off separately. When off, a draft is prepared and goes out with your approval. After every automatic send, you get a "sent" notification.

How do I know how the client will see the email?

Preview email shows exactly the same HTML that will go to the client; Send test to myself sends you the same email with the PDF attached. A copy of every email sent is kept on the History tab.

Did the client open the report?

The report and request details show the view count and the time it was first opened.

Does a payment request change the cari balance?

No. Requests are tracked separately; when you issue an invoice, the account transaction is created with the invoice.
