How do you set up business email with your own domain?
An address like info@yourcompany.com earns far more trust than a gmail address. If you have a domain, you can open one from your company panel in a few minutes.
In short
- Business email is an email address ending in your company's own domain (e.g. info@yourcompany.com); without a domain there's no business email.
- In Heyşirket, a mailbox on your own domain comes with 1 address on the free Starter plan; Professional allows 5 addresses and Premium unlimited.
- The daily sending limit is 50 on Starter, 300 on Professional and 1,000 on Premium; mailbox size is 250 MB, 2 GB and 5 GB respectively.
- There are three setup routes: automatic setup, pointing email directly to the panel, or keeping your current email and forwarding a copy to the panel; if you already have working email, the panel recommends setting up without touching it.
- SPF and DKIM prove that the email you send really comes from you, and DMARC tells receivers what to do with fake email; the panel shows these records and adds them itself when your domain allows it.
If a quote email arrives from ornekfirma2019@gmail.com, the recipient pauses for a moment: is this really that company? When the same email comes from info@ornekfirma.com, the question never comes up. Business email looks like a small detail, but it directly affects trust.
In this article we explain in plain words what business email is, how it's set up with your domain and what abbreviations like SPF, DKIM and DMARC are for. Then we open the address step by step in the Heyşirket company panel.
- Domain — ornekfirma.com
- Connect the domain — Settings › Domains
- Run the setup — Email settings › Setup
- info@ is ready — Inbox
Part 1 · Definition What is business email?
Business email is an email address that ends in your company's own domain: info@ornekfirma.com, sales@ornekfirma.com, booking@ornekfirma.com and so on. The difference from an address from a free email service is that the name after the @ belongs to you.
- Trust: the recipient sees the same name as your website.
- Continuity: even if staff change, the sales@ address stays with the company.
- Order: you split quotes, support and accounting across separate addresses.
- Delivery: email from a properly set up domain lands in spam less often.
Part 2 · Plans Can business email be free?
In Heyşirket, a mailbox on your own domain is included from the free Starter plan up. The only required item you pay for is the yearly fee for the domain, paid to the company you buy it from. The limits by plan are:
| Starter (free) | Professional | Premium | |
|---|---|---|---|
| Addresses you can open | 1 | 5 | Unlimited |
| Daily sending | 50 emails | 300 emails | 1,000 emails |
| Mailbox size | 250 MB | 2 GB | 5 GB |
| Price (VAT included) | Free | 699.99 TL/month or 6,999.90 TL/year | 14,999 TL/month or 149,990 TL/year |
If the mailbox is full, new incoming email is rejected and the sender is notified, so archiving large attachments and emptying the Trash folder helps. Emails in the Trash and Spam folders are deleted automatically after 30 days. For all plan differences, see site plans.
Part 3 · Method Getting email on your domain: three setup routes
The setup screen first reads your domain's current email status and suggests the route that suits you. There are three routes:
| Route | What happens | When it fits |
|---|---|---|
| Automatic setup | The panel adds the required records itself; you don't need to do anything | When your domain's DNS is on Heyşirket's infrastructure |
| Point your email to us | You add a few records in your domain's DNS panel; email arrives directly in your panel's mailbox | When the domain has no working email yet |
| Keep your current email | Your current email service keeps working; you forward a copy of incoming email to the panel | When the domain already has working email |
With the route that keeps your current email, the panel gives you a personal forwarding address. You add it in the "forwarding" section of the service you use. Steps for common services such as Gmail and hosting panels are written on the setup screen. Your email also stays in the old service.
Part 4 · Setup Creating an info@ email address: step by step
Business email in the Heyşirket panel
Open setup
In the panel, go to Email › Email settings › Setup. If your domain isn't connected, the screen first says Connect a domain.
Choose the method
The route the panel suggests is pre-selected (Recommended). In most cases accepting the suggestion is enough.
Add the records
With automatic setup, records are added for you. With the other routes, the screen lists the records you need to add with their type, name and value; copy the values with the copy button and paste them exactly into your DNS panel, without adding quotes.
Wait while the screen checks
The screen checks the records on its own, and each row shows its status. It's usually ready in 5 to 15 minutes. You can close the tab.
Send a test email
Send a test email to your info@ address from another address. As soon as it lands in your mailbox, setup is complete; your first address opens as info@.
Step-by-step setup in the panel: Email settings › Setup.
Part 5 · DNS records What are SPF, DKIM and DMARC?
These three abbreviations are used to prove to the recipient's mail server that the email you send really comes from you. Without them your email may land in spam, or someone could send fake email in your name. On the setup screen each one has its own row and status.
| Name on screen | What it does, briefly | Analogy |
|---|---|---|
| Sending permission (SPF) | Lists which servers may send email on behalf of your domain | The authorized list at the door |
| Signature (DKIM) | Adds an encrypted signature to every email sent; the recipient verifies it with the key on your domain | The seal on a letter |
| Return path | Decides where bounce notices for undelivered emails go | The return address on an envelope |
| Spoofing protection (DMARC) | Tells the recipient what to do if an email fails SPF and DKIM | Instructions for what to do with a forged letter |
| Inbox (MX) | Tells the internet which server should receive email sent to your domain | The address of the mailbox |
DMARC is marked Optional and Recommended on the screen; it doesn't hold up sending. The value the panel suggests is v=DMARC1; p=none;, which means "just monitor for now, don't block email". If you want to tighten the policy after things run smoothly for a while, do it with a specialist; a wrong setting can cause your own emails to be rejected too.
Once sending verification is complete, your replies go out from your own address in your site's design. If your domain can't be prepared for sending at that moment, the screen says so clearly; meanwhile your emails go out from a temporary address.
Part 6 · Daily use Using the inbox
Emails are read and answered on the Email › Inbox screen in the panel. The folders are Inbox, Sent, Drafts, Archive, Spam and Trash; you can star important emails and view them separately.
- Address settings: on the Email settings › Addresses tab you set a display name and signature per address, make one address the default and, if needed, close an address temporarily.
- When new email arrives: a panel notification, a short "you have new email" notice email (the content isn't included), or with the Professional plan a short message from your own WhatsApp number.
- Attachments and recipients: when sending, attachments can total at most 10 MB and 10 files, with up to 20 recipients. Risky attachment types that can run code are blocked when sending, and for incoming ones you see a warning before downloading.
- Plus addressing: email sent to an address like info+quote@ lands in the info@ mailbox.
System addresses such as postmaster, abuse and noreply can't be opened by users; delivery reports sent to them go to your default address.
Part 7 · Structure Which addresses should you open?
Choose the number of addresses based on how your work flows. For a small business one address is often enough; as the team grows, splitting work keeps the inbox in order.
| Address | What for | Who handles it |
|---|---|---|
| info@ | General questions, the contact address on your site | The owner or front desk |
| quotes@ or sales@ | Quote requests and customer correspondence | The sales lead |
| booking@ | Booking questions and changes | Reception |
| invoices@ | Supplier invoices and payment correspondence | Accounting or contact with your mali müşavir |
If you start with the single address on the Starter plan, open info@ and use plus addressing: if you give info+quote@ for the quote form on your site, incoming email still lands in the info@ mailbox and you can tell it apart by subject. When one address isn't enough, Professional takes you to 5 addresses.
If someone on your team needs to check the inbox, invite them from the Settings › Team screen and give their role email permission. Opening addresses and changing signatures and notification rules stays with the site administrator, so no one can open a new address without you knowing.
Common business email mistakes
- Registering the domain in the name of whoever built your site instead of your company.
- Changing where a working email's incoming mail goes without asking.
- Starting bulk sending before DKIM and SPF are verified.
- Setting the DMARC policy to its strictest level on day one.
- Changing the address on your site and business cards before setup is finished.
- Never clearing attachments or the Trash folder until the mailbox fills up.
What is business email?
Business email is an email address ending in the company's own domain, for example info@ornekfirma.com. It looks more trustworthy than an address from a free email service and stays with the company even when staff change.
Can I open business email without a domain?
No. A business email address ends in your domain; you first need to buy a domain and connect it on the Settings › Domains screen of your company panel.
Is business email free?
In Heyşirket, a mailbox on your own domain comes with 1 address on the free Starter plan; you can send 50 emails a day and use a 250 MB mailbox. You pay the yearly domain fee to the company you buy it from. For more addresses you can move to Professional (5 addresses) or Premium (unlimited).
Can I keep using my current email?
Yes. If your domain already has a working email service, choose the "Keep your current email" route; your current service keeps working and you forward a copy of incoming email to the panel.
Do I have to add the SPF, DKIM and DMARC records myself?
If your domain's DNS is on Heyşirket's infrastructure, the panel adds the records itself. If not, the setup screen lists the records you need with their type, name and value; you add them exactly in your domain provider's DNS panel and the screen checks verification on its own.
How long does setup take?
Once the records are added, it's usually ready in 5 to 15 minutes. DNS changes can sometimes take longer to spread across the internet; the screen keeps checking the status on its own.
