Managing site requests and appointments
Every form submitted on your site is a potential customer. Instead of getting lost in an inbox, requests line up in the panel, so you always know who's been called and who's still waiting.
In short
- Submissions from your site's contact and "call me back" forms land on the Features › Requests and appointments screen.
- Form requests and email notifications are included in the free Starter plan.
- The Professional plan unlocks request management (status flow, notes, reminders, statistics, export) and online appointments.
- With list or board views, filters, and notes and history on each request, nothing gets forgotten.
The whole point of having a website is for the phone to ring and forms to come in. But what happens after a request arrives matters just as much: a form you reply to late is often a customer who has gone to a competitor. In the Heyşirket site panel, every request from your site is gathered on one screen.
Part 1 Where do requests go?
When someone fills in a contact, quote or "call me back" form on your site, the submission lands in the panel on the Features › Requests and appointments screen. You also get an email notification at the same time, so you hear about new requests even without logging in. You manage which address notifications go to under Settings › Notifications.
Part 2 List and board views
You can view requests in two ways:
| View | When to use it |
|---|---|
| List | To quickly scan many requests by date, form or source |
| Board | To see requests in columns by status (e.g. new, called, quote sent, closed) |
Use the filter at the top to show only today's requests, a specific form, or requests you haven't replied to yet. Click a request to open its details: what was written in the form, the page it came from, and the notes and history added to it are all here.
Part 3 A suggested daily routine
Open new requests in the morning
Select new requests in the filter; read each one and decide who should handle it.
Reply and add a note
After calling or writing back, add a short note to the request (e.g. "Send quote on Thursday"). When someone else on the team looks at it, they'll see where you left off.
Update the status
In the board view, move the request to its next status. In the Professional plan you can also set a reminder.
Review once a week
Check which pages and forms your requests come from; a page that brings in lots of requests is worth improving.
Part 4 Online appointments and calendar
In the Professional plan, an appointment form is added to your site and incoming appointments appear on the same screen as an appointment calendar. For businesses that work by the hour, such as clinics, beauty salons and consultancies, it noticeably cuts the time spent on the phone. When an appointment time changes, it shows up in the request's history.
Part 5 Export and plans
You can download requests as a CSV file to open in Excel or move to another system. The free Starter plan includes form requests and email notifications; request management, which includes the status flow, notes, reminders, statistics and export, and online appointments come with the Professional plan. In the Agency plan, request and appointment notifications can also be sent via WhatsApp. For a plan comparison, see the differences between site plans.
Request routine checklist
- Notification emails go to the right address.
- Every request gets a reply within 24 hours.
- A note is added to every request that's been answered.
- Request sources are reviewed once a week.
Are requests visible on the free plan too?
Yes. Form requests and email notifications are included in the Starter plan.
Can someone on my team see requests too?
You can invite team members from Settings › Team and set their roles; permission to see requests depends on the role.
Can I get my requests into Excel?
You can export requests as CSV; export is part of the request management feature.
